Custom Software for Health & Allied Health Clinics in Australia

We build custom web apps for Australian clinics and allied health practices: physiotherapy, psychology, podiatry, dietetics, occupational therapy, speech pathology, dentistry, optometry, and general practice. Designed with the Australian Privacy Act in mind, hosted on infrastructure that meets clinical data-handling expectations, and built to work alongside the practice management software you already use.

What we hear from healthcare businesses

  • Patient intake forms still on paper or in PDFs that get emailed back, printed, then manually re-typed into your practice management system
  • Scheduling conflicts between practitioners, rooms, and equipment that your booking system was not designed to handle
  • Manual SMS reminders that someone has to send each morning, with no easy way to track who confirmed
  • Patient documentation scattered across email attachments, secure messages, and the practice drive
  • Sensitive patient information being sent over regular email because no one set up a secure alternative

What we build for healthcare

Below are the four most common things we build for Australian healthcare and allied health practices. Each is designed to slot in alongside your existing practice management software rather than replace it.

Digital intake forms and pre-appointment questionnaires

Patients fill in their history, consent, and pre-appointment questionnaires from a phone or laptop before the appointment. The completed forms appear in your patient record before they walk in — no re-typing, no missed signatures.

Custom booking and triage flows

A booking flow tailored to your service mix: new vs returning patient logic, practitioner matching by specialty, room and equipment availability, and appointment-type-specific intake questions. Sits alongside Cliniko, Halaxy, or your existing system.

Patient portal for secure documents and messaging

Patients access their care plans, treatment summaries, exercise programs, and invoices through a secure portal. Practitioners send and receive sensitive documents without using regular email. Hosted in Australia by default.

Outcome measurement and program tracking

Patients complete validated outcome measures (DASS-21, Oswestry, Roland-Morris, etc.) on their phone between appointments, with the results plotted against treatment progress for the practitioner to review at the next session.

How it works and what it costs

Healthcare apps typically land in the AUD $5,000–$8,000 build range due to the privacy and integration requirements, with AUD $200–$300 per month covering hosting on Australian infrastructure, security updates, and ongoing changes. Fixed quote in writing before any work starts.

Step 1 — Free first call. A 30-minute conversation about your business, your existing systems, and what you need this app to do. If a custom build is not the right answer, we will say so.

Step 2 — Written scope and fixed quote. Within a few days you get a written scope and a fixed price. No hourly billing, no surprises.

Step 3 — Build and launch. Most apps in this space take two to six weeks from acceptance to live. You see progress every few days and give feedback as we go.

Step 4 — Monthly hosting and support. After launch, AUD $150–$300 per month covers Australian-region hosting, monitoring, security updates, daily backups, and a small allocation of changes each month. Cancel any time with a full handover.

Common integrations

These are the tools we most often connect to for healthcare. If you use something not on this list, ask — most modern business software exposes an API we can work with.

Frequently asked questions

Is the data hosted in Australia, and does it meet Privacy Act requirements?

Yes. By default we host patient-facing applications on Australian-region infrastructure (typically Supabase Sydney or Vercel Sydney edge), use HTTPS everywhere, encrypt sensitive fields at rest, and apply role-based access control. We design with the Australian Privacy Principles in mind and can supply documentation for your privacy impact assessment.

Will it integrate with my practice management software?

Cliniko, Halaxy, Power Diary, and HotDoc all expose APIs and we integrate with them regularly. Best Practice and Medical Director are harder due to limited API access — we will tell you up front what is and is not possible. Where direct integration is not viable, we can build CSV import/export workflows.

Can it handle multiple practitioners and rooms?

Yes. Multi-practitioner, multi-room, multi-location scheduling is one of the most common reasons clinics come to us — the off-the-shelf tools handle the basics but cannot accommodate practice-specific rules around equipment, supervisor sign-offs, or specialty-based triage.

What about telehealth?

We commonly build telehealth-friendly intake and follow-up flows. For the video call itself, most practices use Coviu, Healthdirect, or Zoom for Healthcare; we integrate scheduling and intake around whichever you have chosen rather than competing with them.

How do you handle Medicare or HICAPS claims?

We do not handle Medicare claiming or HICAPS directly — those go through your existing practice management software (Cliniko, Halaxy, etc.) which is already accredited for the purpose. Our apps sit alongside those tools, handling the parts they do not cover, and hand off to them for billing.
